In practice
Three lines that save a second exchange
The extract itself takes a minute. What saves time is the sentence that travels with it.
Say which pages these were
“Pages 4 and 11–13 of the contract dated 3 March” tells the reader how the extract maps onto the document they already have.
Decide about numbering
Leave the extract starting at page one and explain it, or add numbering that matches the original. Both work; silently doing neither does not.
Keep the original where you can find it
Whoever reads the extract may ask for the full file next. The original is untouched by extracting, which is the point of using extract rather than cut.
What is usually needed with an extract
- Page numbers on the shorter file
- A watermark if the fragment circulates before approval
- Merging the extract with a covering letter
